If you live in the UK and own a rental property in Dubai, you should be able to understand what is happening at your property without repeatedly chasing for information. When a repair is needed, a payment is outstanding or a tenancy is approaching renewal, clear updates help you make decisions from a distance.

At Black Arrow Real Estate, we believe good communication starts with agreeing what the landlord needs to know, who will provide the update and when a decision is required. Here is what we recommend discussing with your property manager.

Agree how you will stay informed

Start with a named contact and a clear arrangement for routine updates. Decide whether you prefer email, WhatsApp or a scheduled call, and agree how urgent matters will be escalated if you cannot be reached.

A monthly summary can be useful, alongside updates when something needs attention. The frequency should reflect your property and the service agreed. Even during a quiet month, a short confirmation of the tenancy position and any outstanding matters can help you stay informed.

Ask for maintenance updates that support a decision

A useful maintenance message explains the reported problem, the findings so far and the proposed next step. Where appropriate, it should include photographs, an itemised quotation and an expected completion date.

For example, if a tenant reports an air-conditioning fault, the update should explain whether a contractor has inspected it, what work is proposed and whether your approval is needed. If the cause is still being investigated, that should be clear.

Agree spending limits and emergency arrangements in advance. Once work is completed, ask for the invoice and confirmation of the outcome. This creates a record you can refer to if the same issue returns.

Keep rent and expenditure easy to follow

Your records should distinguish rent due from payments actually received, with payment dates and any outstanding balance clearly shown. Fees and approved expenses should be identifiable, with supporting documents available.

Where rent is paid directly to you, agree how payment confirmation will be shared so that you and your manager are working from the same information. Keep quotations, approved costs and paid invoices separate: each represents a different stage of an expense.

This makes it easier to review the property's income and costs and raise questions while the details are still fresh.

Discuss renewals early

Ask your manager to flag the approaching tenancy end date and identify decisions that need your input. These might include whether you want to continue letting, whether maintenance should be planned, or whether your own circumstances have changed.

Any recommendation about the next rent should explain the evidence behind it and take account of the applicable tenancy requirements. Give yourself time to consider the advice and any required notices before action is taken.

Keep important decisions in writing

A quick telephone call can resolve a question, but the agreed action should be confirmed in writing. This is especially useful for repair approvals, contractor choices and tenancy instructions.

Ask how you will access the documents relevant to the management service, including tenancy paperwork, invoices and any agreed inspection reports. Property visits should be arranged appropriately with the tenant. Photographs and written observations can then help you understand the condition without being present.

Choose a service that fits your property

Before appointing a manager, ask what is included, what costs extra, who follows up unresolved issues and how you will receive updates. A sample landlord report can help you see whether the information will be useful to you.
